Overview of Arya's New Referrals

This article will go over in-depth instructions on how to use the new Referral Design in Arya

The Global and Patient-Level Referrals have been improved to increase productivity and allow for better tracking and management of your referrals. Users will now have the ability to better track and monitor their referrals, have more options for viewing referrals, and allows for better customization on user's workflows.

When a field or item is updated or added for a referral within either List View or Table View, it will reflect accordingly within the other view.

This new Referrals design includes many new features, including, but not limited to:

  • Ability to view your referrals in a List View or within a Table View

  • Added statuses for your referrals to better track and manage your incoming and outgoing referrals

  • Customizable Labels to better categorize and tag your referrals based on what the referral is for and your specialty

  • Indicate when the patient has been booked, whether the Referring Physician has been notified, and whether the referral is urgent or not

  • Section to include multiple comments regarding each referral

  • Ability to export your referral lists as a CSV file

Incoming and Outgoing Referrals Views

When you are in the Global Referrals tab, you will notice that you can select between Incoming and Outgoing, then from there, you can select to view in List View or Table View. The Sent tab is no longer a tab option as your Sent referrals will be included within the Outgoing Referrals tab.

Incoming List View

The Incoming List View is your standard view of Referrals. On the left-hand side you will have the ability to filter by users and by referral status. The list of patients will be found below for you to select from. Within the middle, the regular PDF view will appear for users to review the referrals received.

On the right-hand side, the Info and Profile panel will automatically display for you to find additional information about the referral. The Info panel will include:

  • From section displaying the fax number that the referral was received from

  • Patient Information displaying the patient that is tagged to the referral

  • Referral Status dropdown

  • Labels to categorize and tag the referrals

  • Appointment Date dropdown

  • Referring Physician Notification dropdown

  • Urgency dropdown

  • Comments section

Within the right-hand side panel, you can also select Profile at the top to view the Patient's profile.

From the List View, you will have common buttons at the top of the screen that do the following:

  • Select View Chart to navigate to the patient's chart

  • Select Add Task to add a task for the patient

  • Select Book Appointment to navigate to the schedule to book an appointment for the patient

Incoming Table View

The Incoming Table View provides you with the opportunity to view your list of referrals within a table format. You can easily see your referrals filtered by the different status buckets found on the left-hand side.

You can sort by each column within the table to be sorted in ascending or descending order for each column.

By selecting a row within the table, you can:

  • View the patient's chart

  • View the referral PDF in a separate tab

  • You can navigate to the schedule to book an appointment

  • You can add a task for the patient

Once you have selected a status bucket on the left-hand side, you will now have the ability to export your list of referrals as a CSV file.

By selecting the info icon on the far right-hand side of the table, you can open the additional info panel which will display whether the patient has an appointment booked or not. Below this, a comments section will appear for you to continuously add comments to each referral.

Outgoing List View

The Outgoing List View is where you can view and create your outgoing referrals. On the left-hand side, you can filter by user and status. The patient's will be listed within the left-side panel and the details of the outgoing referral will be found within the main panel.

The same layout and functionality will remain for the outgoing referrals but the addition of the status dropdown will be included. This allows for you to categorize your outgoing referrals into different statuses as well.

Within the Global Outgoing Referrals, you will now have the opportunity to create new referrals from the global tab instead of only from the patient-level.

Outgoing Table View

The Outgoing Table View is where you can view and create your outgoing referrals within a table format. The different statuses will be found within the left-hand panel for you to select from. You can sort in ascending or descending order selecting the column header.

By selecting the row within the table, you can:

  • View the patient's chart

  • Access the global Address Book

  • Create a new referral

  • Delete, eFax, and Print a referral

By selecting the info icon, you can open the additional info panel on the right-hand side. This panel will display the fax number you wish to send the referral to, see additional patient information, see the reason for the referral, and view the comments section for the referral.

Patient-Level Referrals

The Referrals within the patient's chart will look similar to the Referrals List View. The list on the left-hand side will indicate whether the referral is an incoming or outgoing referral. Below this, it will indicate the title of the referral or the specialty that you are sending the outgoing referral for.

When you open the right-hand info panel, you will see the same dropdown fields that are found within the Global Referrals. You can view all of the patient's referral details by selecting this icon.

Once a referral has been received into Arya. You can input the details directly from within the eFax or you can choose the Referral category then navigate to the Global Referrals to categorize and manage from there.

Referrals from the eFax

Once you have selected Referral as the category from the eFax info panel, additional fields will appear that you can fill in. You can input the following:

  • The title of the referral

  • The status of the referral

  • Choose labels for tagging the referral

  • If an appointment date is made, you can input the date

  • Whether the referring physician has been notified or not

  • Indicate whether the referral is urgent or not

  • Add comments to the referral

Once you have inputted the necessary information, you can select Save & Clear. The fax will now be listed and displayed within the Referrals tab.

Managing in the Global Referrals

When you are within the Global Referrals tab, you can manage your incoming referrals directly from here.

The List View provides an ideal view for physicians to easily see each referral document and can view/edit any information that relates to the referral. The Table View provides an ideal view for staff to easily see the list of referrals based on each referral status. This view is to provide an easier way to view, track, and manage your referrals.

Whether you are in the List View or Table View, you can input or update the following:

  • Who the referral is assigned to

  • The status of the referral

  • Add or remove any labels that are tagged to the referral

  • Input an appointment date once the patient has been booked with the physician

  • Indicate whether a referral is urgent or not

  • Input any comments that are required for managing your referrals

From the List View, the above details will be found within the right-hand side info panel. From the Table View, the above details will be found throughout the table and within the additional info panel which you can access by selecting the info icon on the right side of the table.
