Both in Global and patient-level referrals, you can find the 'Notify' button next to the Status drop-down field:
This button allows you to send a referral acknowledgement letter back to the referring provider. Further in this article, you can find the examples of what these letters look like, but first we will go over the steps for sending it out.
Sending the Acknowledgement Letter
In the right-side panel, you will see two fields: From and Referring Provider.
1. The From field determines where you are faxing the response.
It contains the fax number that the referral was received from to the eFax Inbox. You can leave it as is if you want to fax your response back to the same number.
If this number is incorrect or absent because the referral was uploaded manually, you can search within this field for the necessary item it the address book:
2. The Referring Provider field determines whose name goes onto the letter.
If the patient already has a referring provider assigned in Demographics, the field in Referrals with be pre-populated with that name. Therefore, for a smooth workflow, we recommend assigning the referring provider when you are first creating the patient chart.
If the field is empty, you can look up the necessary name yourself:
3. Once these two fields have been filled, you need to select the status for your referral.
After the referral has been assigned a status of Approved, Rejected or Waitlist, the 'Notify' button becomes active.
Clicking 'Notify' will generate and send a referral acknowledgement letter to the selected fax number.
Once the automated letter has been sent, the 'Notify' button becomes grey and changes to 'Notified'.
Letter Examples
Now, let's look into each of the statuses in more detail.
Accepted
When the Accepted status is assigned, the 'Notify' button becomes active. Once the button is clicked, the following letter is sent to the referring provider's fax number:
Rejected
When the Rejected status is assigned, the 'Notify' button becomes active and the required 'Reason for Rejection' field appears below:
The reason inputted into the field gets added to the letter:
Waitlist
When the Waitlist status is assigned, the 'Notify' button becomes active and the required 'Wait Time' field appears below:
The wait time inputted into the field gets added to the letter:
