How to Use the List View in Referrals

This article will show you step-by-step instructions on how to use Arya's referrals in List View

Below you will find detailed information on each section found within the List View.

Filter Referrals

On the left-hand panel, you will find two filter options. One for filtering by user and the other to filter by status.

Action Items

Above the PDF view of the referral, you will find the buttons:

  • View Chart

  • Add Task

  • Book Appointment

These will allow you to navigate to the patient's chart, add a task for that patient, and navigate to the schedule to book an appointment.

Assigning a Referral

On the right-hand panel, you will find an Assign To field. This is where you can assign the referral to a user within your clinic.

Choosing the Status of a Referral

Underneath the Assign To field, you will find the Status dropdown. This is where you can select the status of the referral. Default statuses in Arya are:

  • Approved

  • Rejected

  • Waitlist

  • Pending Triage

  • Completed

You can also create your own custom referral statuses, as well as rearrange the order they appear in. For more details, please check this manual.

Tagging Referrals with Labels

Underneath the Status dropdown, you will find the Label dropdown field. Labels are used to tag referrals with specific terms to help categorize your referrals. These are used similar to Tags within a Patient's Chart.

You can create, rearrange and delete labels for your clinic in the Referrals Engine. To learn more about managing your labels, please check this article.

Inputting an Appointment Date

Once the patient's referral has been approved and you have made an appointment for them. You can input this to help track your referrals. Below the Label dropdown field, you will find the Appointment Date field. Once the patient has booked, you can input the date here.

Referring Physician Notified

Below the Appointment Date field you will find the Referring Physician Notification field. Once the patient's referral has been approved and the referring physician has been notified, you can change this field to indicate that the referring physician has been notified of the referrals status.

Notify Option

You can find the 'Notify' button next to the Status drop-down field:

Once the referral has been assigned a status of Approved, Rejected or Waitlist, the 'Notify' button becomes active. Clicking this button will generate and send a referral acknowledgement letter to the fax number that the referral has been received from.

Referrals Urgency

Below the Referring Physician Notification field you will find the Urgency field dropdown. This is where you can indicate whether the referral is urgent or not.

Tracking Comments

Below the Urgency field you will find a section where you can input and track comments for each referral. Each comment will indicate the user, date, and time of the comment.

This design is to improve workflow and productivity when managing and tracking the referrals within your clinic.
