How to Use the Table View in Referrals

This article will show you step-by-step instructions on how to use Arya's referrals in Table View

Below you will find detailed information on each section found within the Table View.

Filters

Within the left-hand panel, there will be a user filter near the top. You can filter by an individual user or by all users for the table.

Status Buckets

Within the left-side panel, you will find status buckets (similar to your task buckets). You can choose between the different status buckets to change what is displayed within the table. You can drag and drop the status buckets to be in the order you prefer.

All Active

All Active will display all Active referrals which includes all statuses that are not Completed.

All Statuses

All Statuses will display all referrals of any status, which includes your completed referrals.

Pending Triage

The Pending Triage status is for any referrals that have yet to be reviewed and triaged by the physician.

Urgent

The Urgent bucket will display any referrals that have Urgent selected within the Urgency column/field. The referrals that display within this bucket will not have a status of urgent but will display any urgent referral no matter their status.

Approved

The Approved status bucket will display your referrals that you have approved.

Rejected

The Rejected status bucket will display your referrals that you have rejected.

Waitlist

The Waitlist status bucket will display any referrals that have been approved and you wish to keep in a separate bucket to track your waitlist.

Completed

The Completed status bucket will display any referrals that have been dealt with and all action items, follow-ups, etc. have been done. You can then choose to change the status to completed to filter as done.

Action Items

Above the Table, you will find the buttons:

  • View Chart

  • View Referral

  • Book Appointment

  • Add Task

These will allow you to navigate to the patient's chart, view the PDF referral within a new tab, navigate to the schedule to book an appointment, and add a task for the patient.

Export List as CSV

From the Table View, you will now have the ability to export the referrals that are within the displayed table as a CSV file. Depending on what list you wish to export, you can select the status bucket on the left-hand side then select Export CSV to download the CSV file of your referrals.

Understanding the Table

Selected Row

You can select a specific row within the table. This will allow you to view that patient's chart, view their referral, book an appointment or add a task for that specified patient.

If you are updating a column, adding labels, indicating if the referring physician has been notified, changing the urgency, or accessing the additional info panel on the right-hand side that specific row will be selected.

Date Received Column

The Date Received Column will indicate the date that the referral was received within your clinic.

Patient Name Column

The Patient Name column will indicate the patient that has been tagged to that referral.

Referred By Column

The Referred By column will indicate the fax number that the referral was received from. This is an editable field if you wish to change the fax number to be the physician's name.

Assigned To Column

The Assigned To column will indicate who the referral has been assigned to. If the user filter has been filtered to a specific user, it will only display that user's name. If the user filter has All Users filtered, it will show all the different user's assigned to their referrals. You can select the field if you wish to change who the referral is assigned to.

Status Column

The Status column will indicate the status that has been chosen for the referral. You can select the field if you wish to update the status of the referral. The referral row will stay until you refresh the page or navigate to the next status bucket.

Label Column

The Label column will display all of the labels that have been tagged to the referral. You can select the field if you wish to add, create, or remove labels that are tagged.

Notified Column

The Notified column is to display whether the referring physician has been notified or not. If the referring physician has been notified it will display as a filled in checkbox. If the referring physician has not been notified it will display as an unfilled checkbox. You can select the checkbox if you wish to update the referral indicating that the physician has been notified.

Urgency Column

The Urgency column is to display whether a referral is urgent or not. If the referral is urgent, the urgent icon will be filled in green. If the referral is not urgent, it will display as an unfilled urgent icon. You can select the icon if you wish to update the referral indicating its urgency.

Details Column

The Details column will have an info icon that you can interact with. The info icon will open up a panel on the right-hand side. This panel will display the Appointment Date field and a section dedicated to comments.

Appointment Date Field

When the info icon is selected, you will see the Appointment Date field at the top. If an appointment date has been inputted, it will display the date. You can select this field if you wish to input or update the appointment date of the referral.

Comments Section

When the info icon is selected, you will see an entire section within the right-hand panel dedicated to tracking comments for the referral. The comments will display the user's name, date, and time that each comment was added.

This design is to improve workflow and productivity when managing and tracking the referrals within your clinic.
