In Arya, you can use different appointment types when booking appointments for your patients in the clinic's Schedule. This article will go over how to manage and edit these types and their settings.
Navigate to the Admin panel
Navigate to the dropdown menu in the top right. Select Admin. This will launch the Admin Panel in a new tab.
Once in the Admin Panel, select Schedule, then select Appointment Settings.
Clinic Wide Appointments
Arya provides a set of pre-made appointment types that are present in your clinic by default.
These default types cannot be deleted, but if you don't want to use them in your schedule, you can de-activate them. This is done by clicking the circle on the left. You can also re-activate them in the same way.
NOTE: The default clinic-wide types cannot be deleted or renamed. You can create your own custom clinic-wide types and assign the necessary title.
To create a new clinic-wide appointment type, click Add in the upper right corner.
To delete your own custom clinic-wide type, click Edit in the upper right corner, then select the red icon next to the type you wish to remove.
To edit the appointment type, click the info icon on the right.
To rearrange appointment types, drag and drop the 3-lined icons.
Editing Appointment Types
As mentioned above, appointment types can be edited by clicking the info icon on the right. This will open the Appointment Details window:
π NOTE: You cannot change the name of default Clinic-Wide Appointments, but you can rename the ones you have created yourself.
Change color: you can select from 17 options, allowing you to visually define the different types of appointments you book.
Set time interval: each appointment type can have its own duration. This can be useful if you book different lengths of time for Consults versus Follow ups.
Delivery method is for appointment reminders and it allows you to determine how the patient will receive them. Your options are:
Email - reminders are sent to the Email address in patient charts.
SMS - reminders are sent to the cell phone number in patient charts.
Both - reminders are sent to both the email and the cell number.
None - If you would like to disable a reminder completely, you can set the Delivery Method to None.
Reminder Alerts allow for the selection of when a reminder would be sent to the patient.
Reminder Message allows you to customize the reminder that the patient receives. Like the Note Template editor, you are able to pick and choose where to add placeholders (like Appointment Date) by clicking the Add Placeholders button and selecting the corresponding placeholder you require.
Billing Code: the Attachments section allows you to assign specific billing code(s) to the appointment type. All patients with this appointment type booked have billing claims created automatically.

Clinician Specific Appointments
Clinician-specific appointments have a few additional features, but work similar to clinic-wide appointments. You can Add, Delete and Edit these types using the buttons on the right:
π NOTE: You are not able to rearrange Clinician Specific Appointments at this time.
What's different?
These appointment types are created for one specific user and will only appear in this user's schedule, but not in others'.
These types cannot be deactivated, but can be deleted.
There are some additional features you can edit for these appointment types:
Physician - Click on this dropdown to pick which clinician will use this appointment type. This appointment type will only appear for that clinician's scheduler.
Make Available for Patient Self-Booking Online: check this checkbox if you want to allow patients to book this appointment type through online booking. You can learn more about setting up your online booking here.
Make a Telehealth Appointment: you can check this option if you want the appointment type to function like the standard Telehealth appointment. This means a patient will receive a unique video call link which both of you can join at the time of the appointment. Learn more about Telehealth appointment types here.
π NOTE: Deleting an appointment type will not delete pending appointments. Instead, in the day view scheduler you'll see an asterisk * appear next to appointment types that have been deleted.
