How to Add Online Booking to your Schedule

This article details the steps needed to set up online booking in your schedule.

Below will go over each step that is required to set up and allow for online booking on your schedule. You will learn the following steps:

  1. How to enable online booking

  2. How to add online booking placeholders on your schedule that will appear for patients when booking online.

  3. How to indicate which appointment types will be available for online booking

Enabling Online Booking for your Schedule

To enable Online Booking for your schedule, you can navigate to the Admin Panel by selecting the dropdown menu in the right corner of Arya and selecting Admin.

In the Admin panel, you can select Schedule at the top. The Online Booking tab will automatically display for you. Within the table, find your name or the clinician's name that you wish to update. You can toggle the Online Booking option and it will turn green when enabled.

Once Online Booking has been enabled, you have two other options that you can turn on or off depending on what you would like to be available to your patients:

  • Accepting New Patients (Online Booking) - This will enable the Register as a New Patient form within your Online Booking page.

  • Allow In-Person Appts. (Online Booking) - This will display the In-Person appointment type as an option to book online for patients.

The Telehealth toggle will be interactable if your clinic is paying for the feature.

NOTE: If a clinical user does not see their name within the table, they can select New and create their custom schedule.

Adding Online Booking Placeholders to your Schedule

Now that Online Booking has been enabled, you can start adding or updating Available Placeholders within the schedule to specify the dates and times that will display within the Online Booking platform for patients.

NOTE: Only the time slots that have Available placeholders and are marked 'for online booking' will be visible for patients using your Online Booking page.

Navigate to the Schedule in Arya and select the clinician that would like to have Online Booking placeholders in their schedule. You can add placeholders in all Schedule views, but the most convenient way to review all of them together is by using the Month View.

Select Add Placeholder button at the top. This will bring up the Add Placeholder side panel for you to input details.

You can specify the clinician schedule that you wish to add the placeholder to. Please select Available for status and specify the start and end dates for the placeholder, as well as the start and end times. You can also add a Description to the placeholder.

Select Make Available for Patient Self-Booking Online. The dates and times on the placeholder will be the dates and times available and seen on the Online Booking page for patients. This allows you to limit what dates and times are available for patients to book online.

Once you have selected Make Available for Patient Self-Booking Online you can select Save.

NOTE: Please remember that by adding Available Placeholders you are telling the system that is the only time you are available. If you only want half the day available for online booking, you can make a second Available Placeholder that isn't available to book online that is for the remainder of your clinic office hours.

Making Appointment Types Available for Online Booking

Now that we have enabled online booking and added the placeholders, we can specify the types of appointments that will be available for patients to book. You can choose as many Clinician Specific Appointment Types as you wish. The other two appointment types that will appear for patients will be Telehealth (if enabled) and In-Person (if enabled).

You can navigate to the Admin Panel by selecting the dropdown menu in the right corner of Arya and selecting Admin. There, select Schedule at the top, then choose Appointment Settings to navigate to your clinics appointment types.

Once you are in Appointment Settings, you can scroll down to the Clinician Specific Appointments. You can create a new appointment type or edit an existing one.

Whether you are creating a new clinician specific appointment type or editing an existing one, you will want to select the Make Available for Patient Self-Booking Online checkbox. This will make this appointment type available for patients to select when booking online. Once you have selected that checkbox and updated any additional information about the appointment type, you can select Save.


Once you have selected Save, you can do the same steps on any other clinician specific appointment types that you wish to be available for online booking. Once you have finished specifying which appointment types will be available for patients to book, you are all set!

NOTE: At this time, Clinic Wide Appointment types cannot be made available for online booking. Since Online Booking can be turned on per clinician, only appointment types specific to a clinician will be available.
