An Overview of the Patient Tabs in Arya

This article will provide you with a brief overview of each patient-level tab within Arya and what can be found within them.

Overview of the Profile

The Profile tab will provide you with the patient's profile information. This includes demographics, contact information, alerts and tags, vaccination records, and appointment history

The Patient Profile will display the medical history, medications, allergies, social history, and family history of the patient. You can add new items to these directly from this page. You can also edit existing items by selecting the field you wish to edit and making the necessary changes. If you wish to delete items from the patient profile, you can do so by selecting Edit and clicking the red remove icon on the item you wish to remove.

By selecting Demographics, a dropdown of patient information will appear. This will have their health information, contact information, demographics, and physician information. You can edit any information by selecting directly into the field.

By selecting Contacts, a dropdown of patient contact information will appear. This will have any contacts the patient has on file such as emergency contacts, MRP, etc. You can add new contacts and edit existing contacts from here.

By selecting Alerts, a dropdown of patient alerts will appear. This will have any alerts that have been made for the patient. You can create new tags or edit existing ones. By selecting the Flag icon, you can allow the alert to be a pop-up when the patient chart is opened.

By selecting Tags, a dropdown of tags will appear that are attached to the patient. Tags are a great way to keep track of groups of patients. You can add new tags or edit existing tags from here.

By selecting Immunizations, a dropdown of the patient's vaccination records will appear. All immunizations that are on file for the patient will be listed here. You can add new records or edit existing ones from here.

By selecting Upcoming Appt., a dropdown of the patient's previous and upcoming appointments will appear. By selecting on the date & time of an appointment, you will be directed to the corresponding day sheet where the appointment is.

Overview of the Notes

The Notes tab is where you can view, edit, upload, and create new notes for your patients. Notes in Arya have additional functionality to make note creation seamless and easy.

By selecting the i icon, you can edit specific items regarding the note. You can edit the Title of the note, the visit date, who the note is assigned to, and you can add any comments if needed.

By selecting Profile, you can view the patient's profile summary. From this side panel, you can add, edit, and remove items from the patient's profile.

By selecting Inserts, you can view, edit, delete, and create new inserts for your notes. Inserts are a great way to lessen the amount of typing you do with your notes. You can create inserts for commonly used sentences so you don't have to re-type them over and over again.

By selecting Format, this will bring up some options to format your notes. It allows you to bold, italicize, underline, strike, and upload images to your notes.

Once you have completed your note, you can do the following:

  • Share to share the note to the patient's portal

  • eFax to queue the note for faxing

  • Print to print the note

  • Delete if you wish to delete the note

  • Sign if you have completed your note and wish to sign off on it.

Overview of Results

The Results tab is where you can view a patient's results that have been received in Arya or have been uploaded. These results can be found under the List tab.

When you have selected and are viewing a result, you can do the following:

  • Share if you wish to share the result to the patient's portal

  • Delete if you wish to delete the result from the patient's file

  • eFax if you wish to queue the result for electronic faxing

  • Print if you wish to print off the result

  • Sign if you would like to sign off on the result after reviewing it

Under the Table tab, you can find a table format for patient's lab results. You can view patient’s historic test results side-by-side and see trends on this page.

Under the Charts tab, you can find patient vitals such as height, weight, blood pressure, etc. You can create your own metric that you wish to monitor for example, urine output. Depending on the patient's age, Growth Charts and Well Baby Record will be available in this section. Growth Charts are used to track length, height, weight, and head circumference. Well Baby Record is where you will find your WBR Guides for ages 1 week to 5 years.

Overview of Forms

The Forms tab is where you can find all of the requisitions, referral forms, and other forms that have are entered into Arya. You can also upload forms from your computer into this section.

The forms that have been generated in Arya will have additional functionality to electronically complete forms directly within Arya. There will be checkboxes and text boxes that you can fill in, and the patient and physician information will be auto-populated on the form for you.

When you are completing the form, you can select Profile, this will bring up a side panel on the right-hand side with the patient profile. This is helpful when completing forms if you need to input information on the form relating to patient history or medications.

When you have completed electronically filling a form, you can do the following:

  • Share if you wish to share the form to the patient's portal

  • eFax if you would like to queue the form for electronic faxing

  • Print if you wish to print out the form

  • Delete if you wish to delete the form entirely from the patient's file

Overview of Prescriptions

The Prescriptions tab is where you can view, edit, add, and discontinue any medications for the patient.

You can add medications into the patient's file, once you have added the medication or have selected an existing medication you can select Create Prescription which will bring up a pop-up, you can then add the amount, type, refills, add notes, and sign the prescription. When creating the prescription initially, you do have the option to queue the prescription for electronic faxing from the pop-up.

Created prescriptions can be found on the right-hand side of the page. You can select a prescription and do the following:

  • Print if you would like to print off the prescription

  • Share if you would like to share the prescription to the patient's portal

  • eFax if you would like to queue the prescription for electronic faxing

Overview of Referrals

The Referrals tab is where you can view, edit, and add new referrals for the patient. You can create a new referral or select Upload if you would like to upload a referral from your computer.

You can input the Service, Consultant, Fax Number, urgency of the referral, the Reason for Referral, and add any comments needed for your clinic regarding this referral.

You can select Address Book if you would like to search for the person/place that you are sending the referral to. Once selected, it will input into Consultant and Fax Number on the referral. You can also select Profile if you wish to view the patient's profile summary on the right-hand side of the page. This is helpful when creating the referral if you need to reference any medical history or medications.

Once you have completed the referral, you can do the following:

  • Delete if you wish to delete the referral you started/finished

  • eFax if you wish to queue the referral for electronic faxing

  • Print if you wish to print out the referral

Overview of Tasks

The Tasks tab is where you can find any tasks related to the patient. You can view, add, edit, delete, and complete tasks directly from this page.

You can create new tasks at the top of the page by adding the task details, due date, who the task is assigned to, and the tasks urgency then selecting Add. Once the task has been added, it will appear in the list of tasks on the page.

If you would like to add comments to a task, you can select the speech bubble icon. This will bring up a side panel on the right-hand side for you to make comments and track the task.

Overview of Billing

The Billing tab is where you can view all the bills related to the patient. You can add new bills, edit or delete existing bills, and submit bills directly from this page. You can also keep track of past bills for the patient.

If you would like to create a new bill for the patient, you can do so by selecting Add Billing at the top of the page. This will add an item on the page, you can then go and input the Fee Code, ICD Code, and Referring Physician directly on the bill in the list. This is also how you can edit existing bills.

If you need add additional information to a bill, you can do so by selecting the i icon on the right-hand side. A pop-up screen will appear where you can input additional information related to the bill. Please see below image for items you can add to your bill:

Once a bill has been created or edited, you can do the following:

  • Delete if you wish to delete a created bill for the patient

  • Select All if you would like to select all bills

  • Export CSV if you wish to export a CSV file and have a report of the patient's bills

  • Submit if you wish to submit a bill

Overview of eFax

The eFax tab is where you can find all the documents of the patients that are queued for faxing and the sent documents that have been e-faxed for the patient.

The Outbox is where you can find all the queued documents for the patient that need to be faxed out. You can enter the recipient name or fax number into the field, or select Address Book and select the recipient from the list.

Once you have entered where you would like to fax your document to, you can select Send if you wish to fax and keep the document in the outbox, or select Send & Clear if you wish to fax and remove the document from the outbox. If you have multiple documents listed in the queued item, you can select and de-select the different documents if they need to be sent to different places.

The Sent tab is where you can find the documents that have been e-faxed for the patient. You can filter by Delivered, Failed, and Queued. If the patient has Failed faxes, you can select Retry to try faxing again.

Overview of Portal

The Portal tab is where you can find the documents that have been shared to the patient's portal and questionnaires.

You can view which documents have been shared to the patient. You can share forms, prescriptions, results, and notes to a patient.

The Questionnaires tab is where you can find questionnaires that have been created and shared with the patient. You can also create new questionnaires for the patient that you wish for them to complete.

Once the patient has completed the questionnaire, it will update this page to have the patient's answers.

Once you have created the questionnaire, you can do the following:

  • Share if you wish to share the questionnaire to the patient's portal for completion

  • eFax if you wish to electronically fax the questionnaire

  • Print if you wish to print out the questionnaire

  • Delete if you wish to delete the questionnaire from the patient's file
