Private Billing in Arya

In this article you will learn how to create private bills that are not covered by provincial health care.

Arya now has the ability to privately bill patients for services that are not covered by their provincial health care. You can now create invoices for services that can be issued directly to a patient.

Accessing Private Billing

To access the private billing section within Arya, you can select the global Billing tab, then select Private.

Using the Private Billing Page

Once you have access the Private Billing section in Arya, the default view will show all of the invoices that have been created for the user. At the top, you have the option Create Invoice if you would like to create a new invoice, View All to view all invoices, View Unpaid to view all unpaid invoices, and View Paid to view all paid invoices.

You can filter the list of invoices by searching a patient's name, filtering by status (pending, issued, paid), or by the date range.

You can select one or more invoices from the list and either delete, export as a Comma Separated Value (CSV) file, share through the patient portal, or print the invoice. These options are all found on the right-hand side near the top of the invoice Private billing page. If you select the 'i' icon, the invoice can be viewed or edited this way.


πŸ“– Note: Invoices that have the status of issued or paid cannot be deleted or edited. The exception is to have the Issued status updated to Paid.


Creating a Private Bill (invoice)

  1. Click on Create Invoice to display the invoice creation page.

  2. Enter the Patient Name, the Billing Physician, the Service Date, and the Due Date for the invoice.

  3. You can add an invoice item two different ways:

    1. Click on the Add blank line item to create a blank invoice line item. The user will have complete control over the Fee Name (or code), description, item cost, quantity, and tax amount. The amount will be calculated as item cost * quantity + tax.

    2. On the right-hand side there will be a side panel that will have pre-defined fee codes. You can choose either Provincial or Custom for the type of fee code. Once you have selected one of the two, it will populate a new invoice line item. The user will still have the ability to modify any item on the line.

      πŸ“– Note: Custom fee codes are managed in the Admin menu in Arya.

  4. Once you have created your invoice, Arya will maintain running totals for amount, tax, and total amount.


πŸ“– NOTE: For provincial codes, the tax will have to be added manually in the field.
