Arya Schedule 2.0 Overview

In this article, you can find all the updates to our Schedule design and the new features it includes.

Navigating the Schedule

At the top of the page, along with the three schedule views — Day, Week and Month — you can now also find the Today button to quickly navigate to the current date.

The buttons on the right have remained the same and allow you to:

  • Add Appointment - create a new appointment on the schedule.

  • Add Placeholder - add available or unavailable placeholders.

  • Add Patient - create a new patient directly from your schedule

  • Print Daysheet - print off your daysheet (only in single-user Day view).

The left-side panel contains the calendar that allows you to select the day, week or month you wish to view. It also allows you to filter by users. You can select a specific user to view their schedule or select All Users for the overview of the whole clinic schedule.

You can collapse the panel on the left using the following button:

New Appointments and Placeholders are now created in the right-side panel instead of the pop-up window. This allows you to navigate different schedule views and dates, while keeping the appointment creation panel open:


New Features

Below you can find the new functionality that has been added to the updated schedule and how to use the new features.

Active Users View

In the Day view of your schedule, you can find the All Active Users option. It will display only the users who have appointments booked on a selected date and hide users with empty schedules.

Auto-scroll to the Next Pending Appointment

In single-user Day view, when you open the schedule, the page will automatically scroll to the first Pending appointment, past all the ones marked as Arrived, Finished or Cancelled. This way, you do not have to scroll past all the completed appointments manually to see the next pending one.

Drag and Drop Appointments

The new schedule allows you to drag and drop appointments to change their assigned date and time, as well as change the duration of the appointments.

Cut, Copy and Paste Appointments

Right-clicking on the appointment you would like to reschedule or duplicate will display the Cut and Copy options. You can select one and then proceed to paste the appointment into the necessary slot.

Confirmation & Status in Week View and All User Day View

You can now see whether the patient has confirmed their appointment, as well as the appointment status, not only in single user Day view, but also in All User Day view and in Week view.

  • appointments marked as ‘Confirmed’ display a white circle checkbox

  • when the appointment status is switched to ‘Arrived', the circle becomes yellow

  • after the appointment is listed as ‘Finished’ it goes to a lower opacity

Remove Cancelled Appointment from Schedule

Our updated Schedule allows you to remove appointments in Cancelled status while keeping them in the patient's chart appointment log. This way, you can free up the time slots and book other patients in, while keeping the record of the cancelled appointments for the patient. For that, click the Delete button in the Edit Appointment panel, then select Archive to keep the record in the patient chart or Delete to remove the appointment completely.

Adding Appointments Through Month View

You can now book appointments in Month View. Select a day to see available time slots in the right-side panel. After choosing a time, the Add Appointment panel opens with the date pre-filled—just enter the patient and appointment type for a quicker booking experience.

If a placeholder is selected in the Month view, the Edit Placeholder panel will open up. To create a new placeholder through the Month view, use the Add Placeholder button at the top of the page.

Create Recurring Placeholders

You now have the option to choose specific days of the week to create multiple recurring placeholders at once, rather than just consecutive days. You can create the same placeholder that will appear every Monday for the time frame specified in Start Date and End Date. For that, use the Repeat drop-down in the placeholder creation panel.

Bulk-remove Placeholders

If you have created a placeholder with recurrence, you can delete all of the placeholders that were created at that time. When selecting Delete, if there are other placeholders that were created together, you will see a popup with the options to delete all, delete just the one, or cancel.

View Placeholders in All User Day and Week Views

View both Available and Unavailable placeholders from All User Day and Single User Week views in the Schedule. This means you won't need to switch to Month view when you need to see the placeholders.

The Unavailable placeholders are displayed as a dark grey schedule item.

The Available placeholders are displayed as the light grey background for included hours.
