This feature is helpful when providers wish to limit their time slots to certain days or times of the week/month. For example: you can select Available from Monday to Wednesday from 8 am to 2 pm and Unavailable from Thursday to Friday. This ensures that any kind of appointment cannot be booked on your Unavailable time slots.
These placeholders make the schedules of the providers look organized and easy to navigate and add the new appointments.
How to add Available placeholders to the Schedule:
Follow these steps:
Login to your Arya EHR account.
The Global Schedule opens by default.
From the User dropdown- select the user.
Click on Add Placeholder from the top menu.
A small window pops up. Here, you need to fill in the information such as Select user, Status, Date, Time, Description, and availability for online booking.
Select User- The Dropdown displays all the users of your clinic at present. From this dropdown select the Provider of whom you want to add the availability to the Clinic's schedule.
Select Status- from the dropdown select Available.
Select Start Date and End Date- from the small calendar icon choose the start date and end date of the provider's availability.
π Note: The dates can range from a day, to a week, to a month and a year based on the availability of the provider.
Select Start Time and End Time- You can add the usual working hours of the provider or the time the provider is available in the clinic to take appointments. Select the Start time and End time from the dropdown, this selected time will be the usual clinic hours of the provider.
Add Description- This is a free text field. you can add a small description of the availability or other notes regarding the schedule of the provider.
Select Availability for Patient self-booking online- Select this field if the provider is available for the Patient self-booking online. Enabling this feature will show the provider's schedule to the patients who are self-booking the appointment online.
Click on the Save button- Click on the Save button at the bottom to save the changes.
The schedule can be viewed in Day, Week, and Month view.
How to add Unavailable placeholders to the Schedule:
Follow these steps:
Login to your Arya EHR account.
The Global Schedule opens by default.
Click on Add Placeholder from the top menu.
A small window pops up. Here, you need to fill in the information such as Select user, Status, Date, Time, and Description.
Select User- The Dropdown displays all the users of your clinic at present. From this dropdown select the Provider of whom you want to add the Unavailable placeholder to the Clinic's schedule.
π Note: Adding the Unavailable placeholder will block the schedule of the provider at that particular time interval.
Select Status- from the dropdown select Unavailable.
Select Start Date and End Date- from the small calendar icon choose the start date and end date of the provider's unavailability.
π Note: You can choose the same day as the start and end if the event is for one day only or can choose the day range when the event is recurring every day, for example: the lunchtime break.
Select Start Time and End Time- You can add the duration of hours the provider is unavailable in the clinic to take appointments. Select the Start time and End time from the dropdown, this selected time will be within the usual clinic hours of the provider.
Add Description- This is a free text field. you can add a small description of the reason for the unavailability of the provider such as lunch break, meetings, on vacation etc.
Click on the Save button- Click on the Save button at the bottom to save the changes.
The Unavailable time slots can be viewed in Day, Week, and Month view.
How to Edit a Placeholder:
Go to Schedule
Select the User from the Dropdown
Go to the Month view
Click on the Placeholder you wish to edit
A Placeholder Settings menu will popup, within this you can edit your placeholder.
Once you have made the necessary edits, you can hit 'Save'
How to Delete a Placeholder:
Go to Schedule
Select the User from the Dropdown.
Go to the Month view.
Click on any Placeholder.
An 'Edit Placeholder' box populates.
Click on the Delete button to delete this Placeholder.
Click onYes button to confirm.
The Placeholder is deleted now.
