Portal and Online Booking Without Public Insurance

Patients who do not have a public health number (PHN) can still create a portal account or use online booking.

What You Need to Do in Arya

To enable this functionality for a patient, ensure the following is set up in their chart:

1. Set the Insurer Type to "No Insurance" or "Private Insurance"

2. Add a Cell Phone or Home Phone number to their Contacts

3. Set a Primary phone number: check the Primary checkbox next to one of the phone numbers


How It Works

Patient Portal

When a patient creates a portal account, instead of the health number, they are asked to enter their Primary Phone Number.

  • Phone number formatting: can be entered with or without dashes (e.g., 403-123-4567 or 4031234567)

  • If the phone number matches the chart, the patient can successfully create their portal account

Online Booking

The same logic applies to online booking:

  • When selecting No Insurer or Private Insurance, the form will display a Primary Phone Number field instead of PHN

  • Matching the phone number allows the patient to proceed with booking


Important Requirements

To ensure successful access:

  • The patient must have a Primary Phone Number saved in their chart

  • The phone number entered must match exactly

⚠️ Note:
If no primary phone number is set in the patient’s demographics, the patient will not be able to create a portal account or book online.
